Ordering Terms & Conditions
The monies paid to Smart Vehicle Options by the customer represents the cost for preparing and arranging known as the processing fee, this is not connected to any vehicle delivered or finance agreement entered in to.
We are not the provider of the vehicle and monies paid by the customer (you) is for our professional services/time only.
For the avoidance of doubt, the goods and services, within this contract, is not the vehicle ordered but the time taken by Smart Vehicle Options to arrange.
By signing the contract, you are instructing Smart Vehicle Options to immediately commence processing your request and you understand that if you cancel, all monies are non-refundable.
The money paid is not a deposit or booking fee and is non-refundable once we commence work.
We can also give this information to the British Vehicle Rental and Leasing Association (BVRLA), which can share your personal information with its members to prevent crime and protect their assets, as allowed under the Data Protection Act.
The broker fee payment is our commission and does not form any part of the finance agreement.
As explained, prior to processing, a processing fee will be detailed on the order form, this represents the costs incurred to arranging the sale as per your instructions, this includes ordering the vehicle and arranging the finance, these monies do not represent the vehicle delivered as the goods and services delivered as part of the agreement is our professional services and time.
Smart Vehicle Options will endeavour to follow up on all outstanding order forms but it’s your responsibility to sign after payment is remitted or transferred.
After payment is taken you will be sent an official order form electronically. Click on the form to agree to our terms and more importantly check that all vehicle details are correct. It is your responsibility to confirm by electronically signing that all details are correct and for any queries please email firstname.lastname@example.org. Your payment profile will be detailed on the order form, with the term and mileage.
Failure to electronically sign the order form could cause delays from the supplying dealer or even place the order on hold. This electronic order forms part of the order process and is sent to the supplying dealer to confirm vehicle details are correct. If the vehicle you have ordered is not available or delayed, Smart Vehicle Options will contact you by email or telephone to provide possible alternatives, if you do not accept alternatives then you are required to wait for the ordered vehicle or cancel as per the terms and conditions.
Smart Vehicle Options are not responsible for any losses or damages arising from delays, cancellation or incomplete orders. Where applicable documentation fees will be charged and these must be paid before the documentation is produced.
It is the responsibility of the customer to return the correctly signed contracts within a reasonable time period, this is usually 48 hours unless otherwise specified. Failure to do so may result in cancellation of the offer and the possibility of an increase in cost. If the customer fails to respond during this time frame then the liability for any loss lies with the customer and Smart Vehicle Options will not be held responsible.
If documents are sent late or incorrectly as per the processes, it’s at the discretion of the finance company if the agreement is honoured. If the agreement is not honoured or cancelled due to delays caused by the customer, all monies paid to Smart Vehicle Options are deemed non-refundable.
No contract can be formed until such time as a copy of the order form signed by the customer is received. Cancellations cannot be verbally accepted and the cancellation form must be signed and returned, failure to follow the process can result in further costs.
If you agree and sign the cancellation letter, as per the process of the terms and conditions and subsequently proceed with actioning a chargeback, we reserve the right to invoice an administration fee of £299 + VAT for all associated costs to defend against the incorrect chargeback.
If a third-party credit or debit card is used at the time of payment, with consent of the other party, the responsibility for any outstanding debt/fraudulent activity remains with the applicant.
Smart Vehicle Options do not accept any orders verbally and any changes must be detailed upon the order form. Your order of a vehicle from Smart Vehicle Options is an offer by you.
Delivery dates and specification are subject to change by the manufacturer without notice. The vehicle must be serviced at the main dealer unless otherwise specified.
As each manufacturer is different it is your responsibility to fully investigate that your contract mileage does not exceed the terms of the manufacturer warranty.
You will be liable for any cancellation fees charged by the supplying dealer on factory ordered vehicles, ordered to your specification if you decide to cancel. The dealer reserves the right to charge storage fees if the vehicle is not delivered within a reasonable time frame after the vehicles arrival, normally 2 weeks, due to the customers inability to communicate or complete documents.
Any changes to specifications on factory orders can result in delays to the incoming vehicle and Smart Vehicle Options cannot be held responsible for any changes made after the initial order. Any changes made are at the discretion of the supplying dealer.
During special circumstances the manufacturer may add/delete/replace certain features specifications on the vehicle to enable them to keep manufacturing vehicles.
These changes will be deemed acceptable at the manufacturer’s discretion.
By signing the order you are accepting any changes that the manufacturer introduces in order to keep supplying vehicles.
When does AdBlue need to be topped up?
Depending on the vehicle manufacturer and model, a full tank of AdBlue varies between 3,000 to 20,000 miles although it is advisable to have fluid levels checked during your routine vehicle service.
There are a number of factors to consider when working out how many miles a litre of AdBlue would last for – typically, it should last between 350 – 600 miles though, depending on your vehicle and how economically you drive.
Vehicles are equipped with a dashboard warning light that alert users when their AdBlue fluid is below the minimum requirement.
It is VERY important that these warnings are not ignored – if your vehicle is below the minimum requirement, we strongly advise to have the AdBlue topped up.
Specification and Images
Whilst every effort is made to verify and ensure the accuracy of the data, the information should only be used as a guide and no purchasing decision should be made without verification of the latest data from either the manufacturer or franchised dealer. All images on the website or marketing material are for illustration purposes only.
In normal circumstances the profile is based upon our base rental fee followed by an advanced rental detailed on the order form, normally these would be 1, 3, 6 or 9 payments in advance, payable before or after delivery, depending on the finance company.
All prices are subject to VAT whether personal or business leasing. Delivery by the dealer to your chosen UK mainland destination, number plate, Road Fund Licence for the term (if applicable) and Vehicle Registration Charge.
Deliveries to Northern Ireland are arranged separately and unless specified we do not deliver to Northern Ireland except in cases where prior arrangements have been made and agreed.
Any change in government road fund licence fees, will be passed onto you the customer. Smart Vehicle Options reserves the right to change the price or delivery estimates either before or after we accept any order.
Prices on the web site are for information purposes only and do not constitute an offer by Smart Vehicle Options capable of an acceptance by you. The initial payment is not part of any advanced rental and does not form part of any payment to the finance company unless specifically stated.
If the finance documents are not produced at the time of cancellation the document fee element will be refunded but the broker fee will not be returned.
RFL is provided for 12 months only unless otherwise stated.
The monies you pay to Smart Vehicle Options represents the costs for preparing and arranging. This is not connected to any vehicle delivered or any finance agreement entered into.
Upon receipt of correct finance documentation and any balance of monies Smart Vehicle Options will arrange driven delivery of the vehicle, on behalf of the dealer, to your chosen UK Mainland destination.
You will be provided with the earliest day slot available. Delivery mileage may count towards your annual allowance.
The vehicle becomes your property once the delivery note is signed, so must be inspected. Failure to do so will result in you becoming liable for the damage. Local registrations of vehicles are not possible. The timescale detailed on the order form is a mere estimate and can fluctuate.
No insurance will be provided or discussed by Smart Vehicle Options and it’s your responsibility to ensure the vehicle is fully insured from the day of delivery. Delivery dates are subject to change by the manufacturer and Smart Vehicle Options cannot be held responsible for an aborted delivery. You will need to provide 48 hours notice to cancel/change any delivery, failure to provide adequate notice will result in additional costs.
Smart Vehicle Options does not offer storage services but as a gesture of goodwill, we may allow customers to use our car park to arrange onward delivery. Any vehicle left in the custody of Smart Vehicle Options whilst awaiting onward delivery, is done so at the customers’ own risk.
Smart Vehicle Options will not be held responsible for any loss or damage incurred whilst the vehicle is left unattended within our car park. It’s the responsibility of the customer to fully insure the vehicle whilst in our custody.
Smart Vehicle Options offer no insurance cover whilst the vehicle is left.
Smart Vehicle Options will sign for the vehicle and will check the vehicle to their best endeavours, weather permitting etc, any damage found after is not the responsibility of the Smart Vehicle Options. Any arrangements for onward delivery with transport/delivery companies is made by yourselves and Smart Vehicle Options have no responsibility for any losses arising from the onward delivery.
Smart Vehicle Options reserve the right to cancel any order with prior written notice and are not liable for any losses arising from the cancellation. In the event that Smart Vehicle Options have to cancel the order, all monies paid will be refunded and we will not be liable of any losses or damages arising from the cancellation. It’s your responsibility to ensure you have a UK driving licence within date and in your current home address. The correct proofs of address and original identifications are required to satisfy FCA requirements.
Smart Vehicle Options will immediately commence performance to avoid losing a vehicle.
